
Emergency procedures
Fire safety
Fire safety is your responsibility. During an emergency situation, you will not have much time to decide what to do, please make sure you know what to do ahead of time. Follow Fire safety signs in hallways and stairs.

Fire Prevention
ALL forms of Smoking and Vaping in the common areas of the building is prohibited. Your balcony forms part of the common area. Always dispose of smoking material appropriately. Do not throw cigarettes from balconies. Do not place cigarettes or any part of them in plant pots – these plant pots can contain peat moss which is highly flammable and this is how many fires are started.
Candles must be used with care and attention, never leave candles unattended.
Use care and caution when cooking in your unit. Do not leave items on stoves unattended.
Do not store flammable liquids, paints etc. near heat sources. Combustible items that you no longer require should be recycled at your local fire department.

Flood & water
Know where the water turn-off valves are in your unit.

NEVER leave your windows or doors open in winter to prevent pipes to freeze.
When doing renovations use a certified plumber. Contact the Property Manager to get pre-approval on any and all in suite renovations.

Sewer back up
Do not dispose of any non-bio degradable materials in your sinks or toilets.
Do not dispose of flammable or combustible materials like paint, oils, grease, etc. in your sinks or toilets. If you have a sewer back up report it immediately to the Property Manager.
GARBURATORS: are no longer permitted in the building, many of the plumbing back ups and floods have been due to misuse and improper materials being disposed of down these devices. If you have an existing garburator in your unit we will pay to have this removed. Please reach out to the Property Management Company to arrange the removal.
Smoking
Polo Terrace is a non-smoking building and smoking on any portion of the common property area, including patios, is strictly prohibited.
Entrance fobs
Lost or damaged fobs must be reported immediately and can be replaced at a cost of $100.00 with the following conditions:

Lost fobs – MUST be reported and provide the number of the Fob so it can be de-activated. This is for building safety and security purposes

Email or phone the Property Manager ASAP

Damaged Fobs must be turned-in to be de-activated
Personal contact information
The Property Management and Board maintain an updated list of the contact information of owners and tenants to be used only in emergency situations. It is the owner’s responsibility to update their and/or their tenant’s information as it changes. Please contact the Property Manager to update.
Polo Terrace CCN 9912839 and will be held in trust until the unit is no longer rented to the subject tenant.
Balcony & patios
The balconies and patios are common property. Each Unit Owner has been granted exclusive use of the directly adjoining balcony or patio.

In consideration of your neighbours, please ensure that noise is kept to an absolute minimum at all times.

Nothing except for patio furniture and a barbecue are permitted to be stored on the balcony or patio. In the past there have been incidents of objects flying off balconies and patios. Please ensure that any light objects are secured or removed when not in use.

​Smoking is not allowed on Balconies or patios; resident/owners that discard cigarette butts off the balconies will be liable to a sanction as recommended by the Board.
Bicycles and rollerblades

Absolutely no bikes are to be taken through the lobby. You are encouraged to store your bike at the specially designated bike rack locations. They can be found in the parkade, or can be stored in your storage locker.

If you insist on storing your bike inside your suite, you must enter the building from the parkade.

You are not allowed to wear your rollerblades inside the lobby or hallways and must carry them outside the building before putting them on.
Hallways
-
The hallways are common areas. Place doormats and any personal items inside your suite, not outside your front door.

During periods of inclement weather, please wipe your feet thoroughly prior to entering the building. This will help to extend the life and beauty of the carpets, which are vacuumed weekly and shampooed yearly or as needed. Your cooperation will help keep condominium fees down as less “emergency” maintenances will be required.

If you accidentally spill something or track dirt onto the carpets, please be responsible and courteous towards others and clean up the soiled area immediately or report it to the property manager.

Keep air flow under your unit entrance door free as this will improve air pressure and air quality in your unit and hallways.
Stairways
-
The storage of items in the stairways is not only a prohibited use of common property, but it is also a violation of fire code regulations. The Corporation will have any such items removed and discarded immediately without notice.
Pet policy
There is currently a pet policy in place with respect to the number and size of household pets which are allowed in your unit.

A pet must be registered with the Board and approved in writing by the Board before the pet is allowed to reside in Polo Terrace.

A Polo Terrace application for pet approval can be obtained from the Property Manager.
-
Approval from the Board may be withdrawn at any time on seven (7) days’ notice to that effect if the Board is of the reasonable view that the pet is creating a disturbance.
Pet ownership at Polo Terrace in subject to the following conditions:

All pets which are required by the city to be licensed must be licensed
-
Each unit is permitted to have up to 2 pets (excluding fish)
-
All pets must be on a leash which is no longer than 6 feet in length at all times when on common property
-
Pets must be walked away from the entrances and off of common property. Defecating and urinating on any common areas, on common area shrubs, trees, and grass is not permitted. An owner may be charged back for the replacement of damaged shrubbery or grass or for area clean up when not complying with this regulation

Pets (including cats) are not allowed to wander at large in common areas and building grounds
-
Pets are not allowed to be tied to patios or balconies
-
Owners will be responsible for ANY/ALL damages caused by their pets
-
Noise disturbances caused by pets will be subject to penalties and surcharges
-
Violators will be subject to a fine of up to $500 for each occurrence (this fine limit may be modified upwards at the discretion of the Board)
Parking policy

Residents are only permitted to park in their titled and /or rental parking stalls in the parkade.
-
Roadways through the parkade must be kept clear at all times.
-
The storage of boxes and other items is prohibited and any violations are subject to a monetary sanction
-
The owner or tenant is responsible to clean any oil or other stain in their parking stalls. In the event of a leak of any kind, the resident will be responsible for all clean up costs.
Visitor parking

​Visitor parking is for the exclusive use of visitors. Owners/residents who park in the visitor parking area will be subject to ticketing and/or towing and these owners/residents will be responsible for the costs incurred in enforcement of the parking policy.

One valid visitor’s parking pass will be issued per suite for use of visitor vehicles. (This does not include parking rental stalls.)

Lost passes will be replaced at a cost of $100, old/revoked passes will be deleted and if used that vehicle will be towed.
-
Parking will be regularly monitored in the building. All vehicle visitor parking stalls must clearly display a visitor parking tag hung from the rear view mirror.

Visitor parking is not intended for long term stays; visitor passes may be used for up to 7 days per month per unit. Board approval is required for extended visitor’s passes.

When an extended visitors parking pass is required an owner may request an extended pass from the Property Manager. For extended visitors you must provide the vehicle make, model, license plate number, visitor pass number and expected departure date.

Abuse of the visitor pass will result in the pass being revoked. The pass can be reinstated after a 3-month period and the payment of $100.
-
All parking stalls rented to non-residents must be registered and updated regularly by the stall owner with ​the Property Manager.
Move-in/out policy
​
Bookings to move in/out are REQUIRED and are made through the Property Manager.
A maximum of two (2) moves per day may be scheduled. Move times:

9:00 am to 1:00 pm (AM)
-
1:00 pm to 5:00 pm (PM)
Bookings must be scheduled a minimum of five (5) days in advance as security and elevator key/pads must be arranged:

$125.00 non-refundable fee for each booking must be paid in advance.

Moves booked on Sundays or Holidays will be subject to additional security fees charges - a $160.00 non-refundable fee must be paid for Sunday and Holidays moves.

Payment by exact cash or cheque made payable to ‘The POLO TERRACE Corporation’ can be mailed or brought to the Property Management Office.

A pre-move inspection of relevant common areas (lobby, elevator, hallway)
-
Installation of elevator pads is required
-
A post-move inspection to identify any damage to the common areas will be done by security; any costs associated with repair of damage sustained by the common areas outside of what is in the Board’s opinion considered “normal” will be levied against the unit owner.
Garbage disposal
​
The garbage and recycling areas are all under video surveillance, these areas are monitored to ensure that occupants follow the rules below to maintain the buildings cleanliness.

Small garbage shoots are located on the west end of each hallway in a labeled “Garbage” room.

Larger bags, recycling and compost are to be disposed of in the parking garage by the parking garage door entrance. Please note that the following items must be disposed of with a service such as 1-800-GOT-JUNK, or at a landfill or recycling depot: furniture including household furnishings, lamps, clocks etc. Electronics - including televisions, computers, etc.

Noise
​
In consideration of your neighbours, excessive noise from voices, pets, music, heavy footsteps, televisions and other electronic equipment, or from any other source is not permitted at any time.
Storage
​
Additional storage lockers are provided on a first come, first serve basis. These can be arranged through contacting the Property Manager for a fee. They are located in the north end of the parking garage and are caged in designated stalls.
The Property Management and the Condo Board are not responsible for any of the contents stored in these stalls.
Only seasonal items can be stored in storage rooms on floors 2, 3, 4 and 5. ALL items stored in these rooms MUST be labelled with your unit number. These storage rooms are cleaned out on a seasonal basis, unaccounted for items will be donated. Seasonal items include:

Christmas trees and decorations
-
Sports equipment like golf sticks, hokey equipment, sky equipment, etc.
No furniture, TV’s, electronics, empty boxes, metres or appliances are allowed to be stored in these storage rooms. These will be removed and disposed-of.
Security
​
The security of the building is everyone’s responsibility.
We ask that everyone is responsible and vigilant to ensure the safety and security of everyone’s person and property.

Entrances: do not let anyone in with you that you do not know

Overhead door:
-
Ensure door is fully closed before you drive off
-
Wait for the vehicle ahead of you to enter the parkade
-
Use your own FOB to enter the parking garage.
-

Exterior doors: ensure that these doors are fully closed and are locked prior to leaving the building to ensure no one can enter the building.
-
Vehicles: ensure that no valuables are left behind or stored in your vehicles, on the road or in the parking garage.
